DUTIES AND RESPONSIBILITIES
OF THE SSLA EXECUTIVE BOARD

The success of SSLA depends on the talents of the volunteers who hold formal positions and run the functions. Elections will be held in August for all functional positions. You don't need to hold a specific rank to run for positions.

Here are the duties and responsibilities of the SSLA Executive Board. If you would like to run for a position, call LCDR John Dittmer (703) 732-1976 or e-mail him at wopaman@aol.com.

- With elected officers, set policy for SSLA.
- With elected officers, determine SSLA position on issues affecting membership.
- Provide fiscal guidance.
- Develop long-term organizational priorities.
- In the event of formation of a national organization with regional chapters in the future, set policy and positions for chapters to follow, provide guidance to individual chapter Executive Boards.
- Two Directors must serve on the Election Committee.

(All officers are ex-office members of the Board of Directors)

PRESIDENT

- Overall coordination responsibility for Washington, DC    organization
- With Executive Board, determine organizational goals and priorities
- Act as primary Spokesperson for SSLA
- Nominate Election Committee
- Develop special fundraising committees
- Approve final copy of Newsletter before printing and distribution
- Authorize expenditures up to $250 without Board approval
- Compile Annual Report
- Serve as ex-office Member of Board of Directors after completing Presidential term
- Serve as SSLA Representative to the Navy-Marine Corps Council

VICE PRESIDENT

- Act as President in the President's absence
- Coordinate the planning and execution of programs and events with other officers and Board members
- Advise the President on the status of programs planned and in process
- Conduct an annual financial audit with Treasurer in September for turnover
- Maintain position descriptions of Executive Board
- Carry out miscellaneous functions as directed by the President and Board of Directors

VICE PRESIDENT FOR PROGRAMS

- Develop long-range plan for programs for Board Approval
- Recommend programs for general membership functions
- Coordinate program and logistics for Annual Meeting
- Coordinate logistics for general membership programs
- Maintain the SSLA calendar for year of all events
- Coordinate the action of the following committees:

Programs - Develop programs for guest speakers; draft correspondence to invite speakers; procure gifts or honoria; draft program flyer for general membership events.

Logistics - Select site and menu for SSLA events; ensure proper arrangements are made for equipment and facilities for general meetings; provide escorts for VIPs and special guests; develop head table seating arrangements with placards; provide people to maintain event registration table at the event.

- Develop and implement programs to recruit new members
- Develop and implement programs to renew membership
- Update and maintain membership forms
- Maintain membership rosters, including VIP list
- Maintain file of completed membership information requests
- Provide individuals with SSLA information upon request

VICE PRESIDENT FOR COMMUNICATIONS

- Act as Managing Editor of the SSLA News newsletter
- Maintain the Newsletter file
- Handle all the printing and bulk mail requirements

Newsletter - produce monthly newsletter; develop informational points of contact within the membership; coordinate with the President for the President's Podium column.

VICE PRESIDENT FOR PUBLICITY

- Publicize all SSLA activities
- Maintain file of all printed flyers, announcements, brochures and programs
- Record and transcribe all speeches given at general membership meetings; maintain copies of the transcribed speeches and provide to individuals upon request (for a fee)
- Coordinate action in the following areas:

Public relations - Develop news releases and dissemination to all major commands; develop and maintain SSLA informational brochure

Event reporting - Photograph, record and transcribe significant events; provide photographs to the Historian

Speaker's Bureau - Maintain a file of members willing to speak on Sea Service topics; coordinate other organizations' requests for speakers

Command Points of Contact - Develop and maintain points of contact from each major command represented in the membership and provide publicity flyers to those individuals for dissemination

RECORDING SECRETARY

- Keep minutes of all Board meetings and provide them to Board members
- Maintain historical files
- Maintain Board attendance records
- Maintain file of "Duties and Responsibilities of the Executive Board"
- Monitor and maintain By-laws. Track changes and record membership votes on the subject
- Record vote of SSLA elections
- Coordinate with Historian who will maintain SSLA historical files, including but not limited to photographs, letters from VIPs, biographies of officers and other pertinent information designated by the Board
- Maintain SSLA master files and file cabinets

CORRESPONDING SECRETARY

- Draft and procure correspondence including: thank you notes t guest speakers, congratulations notices to members upon their promotion, ballots for membership votes and outgoing correspondence as directed by the Board
- Maintain liaison with other organizations having goals compatible with SSLA's
- Maintain address list of other organizations.
- Provide list to Vice President for Membership
- Provide information on SSLA to requesting organizations
- Retain a key to the SSLA mailbox and act as backup for mail pick ups
- Purchase SSLA stationary, envelopes and note cards as needed
- Coordinate the activities of the following committee:

Organizational Liaison - Maintain information on the organizations and provide them with information on SSLA. Keep track of issues as they are developing that pertain to women of the Sea Services; keep Vice President for Education informed.

TREASURER

- Maintain the organization's funds
- Collect membership dues
- Collect monies for special events and fund-raisers
- Dispense the organization's funds
- Maintain financial records as required by law
- Coordinate the input from the other officers to plan and develop the yearly budgets; submit a plan for the Board's approval each October
- Prepare final financial report each September for the previous fiscal year in conjunction with the turnover audit
- File and maintain income tax submissions
- Retain the mailbox key and act as primary officer responsible to mail up the mail
- Approve purchase up to $50

POSITIONS APPOINTED BY THE PRESIDENT AND THE BOARD OF DIRECTORS

ANNUAL PROFESSIONAL DEVELOPMENT SYMPOSIUM CHAIRMAN

- Coordinate program and logistics for the Annual Professional Development Symposium

HISTORIAN

- Document SSLA's history, maintain historical files and scrapbooks

CHAPLAIN

- Provide people to give invocation at all major SSLA functions

SSLA NATIONALIZATION/HAZARD AWARD CHAIR

- Coordinate activities to nationalize SSLA and establish the Hazard Award

DACOWITS REPRESENTATIVE

- Attend spring meeting of DACOWITS (held in Washington, DC) and report to the membership on its activities

MARINE CORPS REPRESENTATIVE

- Represent special interests/concerns of the Marine Corps to the Board

COAST GUARD REPRESENTATIVE

- Represent special interests/concerns of the Coast Guard to the Board

MIDSHIPMEN LIAISON

- Serves as liaison to the Naval Academy and to NROTC units. Helps present various awards to designated winners.

WEBMASTER

- Maintains the SSLA Web Site and advertises events and programs through the web site and e-mail.
